Motor vehicle insurance

Cover

This policy is a comprehensive insurance policy that covers damage to property. Only University-owned vehicles are covered, it does not apply to privately owned vehicles even whilst being used on University business. The policy operates within the Commonwealth of Australia.

Accident procedure

In the event of an accident, the procedure to be followed is:

  1. If any person has been killed or injured, render any necessary assistance
  2. Stop and exchange name and address with any other party involved
  3. Do not admit liability or take any action that could be construed as an admission of liability
  4. Record the registration number and make of any other vehicle
  5. Ensure that you note the exact time and location of the accident, together the conditions of the road (for example, slippery following heavy rain)
  6. Record the names and addresses of as many witnesses as possible at the scene of the accident
  7. Report accident to police if required by the Traffic Act 
  8. Note the name of the police officer, the police station, and the time and date of reporting
  9. Obtain a written quotation for the necessary repairs from a reputable repairer.

Theft procedure

If you discover the theft of a University motor vehicle:

  1. Report the theft to the police as soon as possible
  2. Note the name of the police officer, the police station, and the time and date of reporting
  3. Go to Making a motor vehicle insurance claim below

Windscreen breakage

If your vehicle's windscreen is cracked or broken within the Sydney Metropolitan Area, follow the normal Accident Procedure (Step 9 above).

If the windscreen is broken on a field trip or other journey away from the University, and you cannot drive the vehicle back to Sydney , take the vehicle to the nearest windscreen repairer to replace the windscreen. 

Pay for the repairs with your University credit card if you hold one, otherwise ask the repairer to invoice the University for the cost. If the repairer is not prepared to carry out the work on a credit basis, it is expected, as a matter of prudence, that you would pay for the cost out of your own funds and seek reimbursement from the University upon return from the trip.

Making a motor vehicle insurance claim

 The process for motor vehicle insurance claims is as follows:

Claimant:

  1. Fill in a Motor Vehicle Accident Claim Form
  2. Attach a copy of the Driver’s Licence
  3. Attach the original quotation for repairs or, the invoice or receipt for replacement of windscreen
  4. Send completed form to Insurance Officer ((OFS)

Insurance Officer:

  1. Check the details of the claim report
  2. Make any corrections as required
  3. Make two copies of the claim
  4. Return the originals to the claimant driver / budget unit concerned
  5. Lodge the the claim with the insurance company by letter.

Claimant:

Place the original report in the vehicle for the insurance assessor.

Repairer:

Arrange for the insurance assessor to inspect the vehicle and authorise the necessary repairs to be carried out. 

Assessor:

Collect the original claim report for the insurance company.

Repairer:

Claimant:

  1. Arrange for the payment of the excess. If the repairer requires a cheque for the excess before releasing the vehicle, fill in a Non-order Payment Request for a cheque to the repairer and attach a copy of the claim.
  2. The excess, in the case of salary sacrifice cars, is charged to the officer's salary sacrifice account, or the financial unit of the driver (at the time of the accident).
  3. The excess for centre owned vehicles is the charged to the financial unit of the driver (in an accident, or if the centre can prove a particular staff driver caused the damage), otherwise it is borne by the centre.
  4. Pick up the vehicle from the repairer.
  5. Advise the Insurance Officer of the completion of the claim.
